A Helpful Timeline for Your Wedding
Planning Process
12-18 MONTHS PRIOR
ORGANIZE GUEST LIST
Work with your partner and family members to set your guest numbers. This will impact your venue and reception needs as well as overall budget.
SET THE WEDDING DATE
Do you want a weekend wedding? Holiday weekend? Summer vs. Winter? Certain dates and holidays impact pricing and availability.
TOUR VENUES
Take some time to visit your venue options. While you’re at The Edgewater, don’t forget to ask about other event spaces at the resort for your weekend festivities.
BOOK CEREMONY/ RECEPTION VENUE
The Edgewater typically books 18 months out. Once you finalize your date and contract, you can then plan design, décor and overall theme.

8 MONTHS PRIOR
HIRE YOUR WEDDING PLANNER
Hiring a wedding planner will alleviate stress and make your engagement more enjoyable. We always recommend a third-party planner to assist with planning your wedding weekend, but it is certainly optional. Visit our website to see how The Edgewater Wedding Concierge team will support you vs. a wedding planner or day-of coordinator.
BOOK EXTRA CELEBRATION EVENTS
Consider your needs for a Welcome Reception, Rehearsal Dinner, Post-Wedding Brunch, Bachelor/ Bachelorette Parties and Bridal Showers. Please contact The Edgewater Wedding Concierge team to learn about our options.
6 MONTHS PRIOR
REVIEW RECEPTION CATERING MENU
Take an hour to review our catering menu and think through the event flow. For example, are you doing a cocktail hour and do you want passed hors d’oeuvre or stations? Do you want late night snacks? Additional desserts? It’s time to start thinking about your menu and be mindful of certain dietary needs guests may have.
4 MONTHS PRIOR
SCHEDULE TASTING & PLANNING MEETING WITH THE EDGEWATER WEDDING CONCIERGE TEAM
We will send you detailed wedding checklists prior to this meeting to help us prepare for your tasting.
SCHEDULE HAIR AND MAKEUP TRIALS
Consider The Edgewater Spa and Salon for wedding preparation and day of needs. Trials will give you a chance to experience different styles that might work best for your face. Don’t forget to ask our Spa team about skincare services leading up to the wedding!
DEPOSIT DUE – 25% of event cost
3 MONTHS PRIOR
ORGANIZE IN-HOUSE EDGEWATER TRANSPORTATION
Plan how you, your bridal party and family are going to get from the resort to the wedding, wedding to photos, etc. and then back to the resort for the reception.

6 WEEKS PRIOR
CONFIRM All DETAILS WITH VENDORS, CEREMONY AND RECEPTION
Take a few minutes to check in with your vendors to make sure they have the correct details.
REMIND GUESTS OF YOUR GUEST ROOM CUT-OFF DATE.
Don’t forget to include the link to your hotel rooms on your wedding website!
3 WEEKS PRIOR
ENJOY HAIRCUT, COLOR AND SKINCARE APPOINTMENTS
Relax and reboot before the big day!
2 WEEKS PRIOR
PROVIDE THE EDGEWATER FINAL GUEST COUNT & FINALIZE SEATING CHART
Confirm final guaranteed numbers to your Edgewater team. Don’t forget a meal plan for vendors like your photographer and DJ/Band! Use our Social Tables application to load your guests’ names and menu choices at their specific table.
